Every room has its own QR code. The worker scans it on the way in and the app records the time and the place. No paper sheets, nothing filled in afterwards.

Time is measured, not estimated

Each task has its own timer on the server. Walking and breaks never land inside a task, so the pace can honestly be compared with the norm.

A photo instead of an argument

A cleaning cannot be finished without a photo of the result. When a complaint arrives, you have the evidence from that day and that room.

How it works

We load your buildings
We can pull the individual rooms out of a PDF floor plan; you review them and fill in the rest. Excel or by hand works too — for a smaller building it is an afternoon's work.

Workers get a link and a PIN
Nothing to install — the app opens in the phone's browser. Signing in is a name and a four-digit PIN: no passwords, no company e-mail.

A live view of who, where and for how long. Plan against reality, building by building. Warnings about what was missed, and photos for every cleaning.

What is actually in it

No asterisks. Everything below is finished and in use; what we cannot do yet is a little further down.

06In the field, on a phone

A name and a PIN: On your company's own link. No passwords, no company e-mail, nothing to install — the app is added to the phone's home screen.
A QR code or an NFC tag on the door: Scanning opens that room's checklist. The code by the entrance checks the worker in, the one by the exit checks them out — and refuses while a room is unfinished.
When the code will not read: Only after a real failure does the app offer to pick the room by hand. Every such bypass is recorded, so damaged labels surface by themselves.
The clock runs on the server: For the visit and for every task separately. Walking and breaks never land inside a task. Closing the browser loses nothing — they come back exactly where they were.
The result photo is mandatory: Without it the cleaning cannot be closed and the clock keeps running. Taken with the live camera, never picked from a gallery. Before-photos and a note about extra work are optional.
What is already done today is visible: Whoever arrives after a colleague sees the rooms and tasks already ticked off, and has to confirm before doing them again.

06Running it and proving it

A live board: Who is signed in, where they are working and for how long, with photos from the latest cleanings. A manager can close an activity left open — and the record says they did.
The cleaning log: A given day, a given room: the time of each task, the photos, the notes. Filterable by period, building and person.
Pace against the norm: Every room has a norm time. The scoreboard shows who is above or below it, and where — against your norm, not against somebody else's table.
Warnings about what did not happen: Tasks not done, late starts, late arrivals and no-shows. It is reporting, not a barrier — it never stops a worker.
Plan against reality: Building by building and room by room: how many cleanings were due in the period and how many happened, marked OK, partial or missed.
The building in 2D and 3D: Floor by floor, coloured by cleaning status. Zones can be moved, resized and added in the editor.

03Planning and the brief

Shifts and who works them: Weekly shifts per building, people assigned per weekday. Next to it, demand against capacity: the minutes your buildings need against what you have planned.
Tasks with a real recurrence: Daily, weekly, every N weeks, monthly by date or by the first Monday, on demand, one-off — plus when in the day it is expected. Recurring checklists can be saved as a template.
Tasks proposed from the contract: Upload the contract PDF and get a proposed checklist to review and approve. Nothing is saved without your confirmation. Optional, and billed by usage.

02For the customer and the tenants

A view of their buildings only: The customer gets an account that shows plan against reality and the last cleaning for their buildings — and nothing else. The limit is enforced by the server, not by a hidden menu.
Complaints from the code on the door: Scanning opens a form with a category, a severity and photos. A thread of comments and status changes follows, with an e-mail on each change. A complaint can be turned into a scheduled task.

03Getting started

Import from a spreadsheet: A whole building at once: floors, rooms, tasks and shifts. First a preview with every error, only then the write — all of it or none. The template is downloadable from the app.
Zones from a floor plan: We pull the individual rooms, with their areas, out of a PDF drawing. You review, correct and complete the proposal; a repeated import never overwrites what a human edited.
QR labels to print: Pick floors or whole buildings and get a finished A4 PDF of branded labels, or single codes on their own. A setup wizard walks you from an empty account to the first cleaning.

02Access and security

Roles and building visibility: A role decides which sections a person sees and may change; a visibility group decides which buildings. Nobody can hand out more rights than they hold.
Companies separated in the database itself: Not only by a query in the app, but by a rule in Postgres. Plus protection against password and PIN guessing, an audit log of sign-ins and sensitive changes, and GDPR erasure of a worker that keeps the cleaning history.

What Provacta does not do

We would rather say it now than at the third meeting. None of this is a coming-soon — it simply is not there today.

It is not attendance or payrollYou see when work happened in which room. We do not compute hours for pay and we do not export to a payroll system.
It does not track the phoneNo GPS, no geofencing. The system knows only that somebody scanned a code in a particular room at a particular time.
No contracts, SLAs or penaltiesA contract does not exist as a record here. We do not calculate penalties or bonuses, and we do not approve a contractor's invoices.
No stock or consumablesHow much paper or detergent is left is not something Provacta knows. Nor do we optimise routes or the order of rooms — the worker chooses the order.
It does not work offlineIn a spot with no signal, a cleaning cannot be recorded. The app installs to the home screen, but it does not hold data on the device.
There is no report exportData is read and filtered inside the app; the only download today is QR labels as a PDF.

Who is Provacta for?

Provacta is for cleaning companies that want to prove their work to their clients, and for building owners and managers who buy cleaning and want to see what the contractor actually did. Typically shopping centres, office buildings, schools and production sites.

What does Provacta not do?

Provacta is not a time-and-attendance or payroll system, and it does not replace invoicing. It does not track workers by GPS — it only knows that somebody scanned a code in a particular room. And it does not handle contractual penalties or approving a supplier's invoices.

How long does it take to get started?

For a single building it is days, not months. The work is describing the rooms and the norms; a PDF floor plan or an Excel list speeds that up. Workers need no training — they scan a code and tick off tasks.

What does a worker have to do on the phone?

Open the company link, type a name and a PIN, scan the room's QR code, tick off the tasks and photograph the result at the end. Nothing is installed and it works on an ordinary phone.

Where is the data stored?

On servers in the European Union. Each company's data is separated at the database level, so another company cannot reach it even by accident.
